What makes an RFQ actionable

A useful RFQ does more than identify the component name. Include the latest drawing or CAD, mating interface, material requirement or service environment, sample and production quantity, and the dimensions or tests that control acceptance.

Send Why it matters
2D drawing + revision Establishes dimensions, tolerances, datums and notes.
3D model Clarifies complete geometry and supports DFM review.
Mating-part data Confirms mesh, center distance, chain interface or assembly fit.
Environment + duty Supports material, wear and dimensional-stability decisions.
Quantity Separates machining, prototype tooling and production-tooling routes.

What happens after submission

The first review checks whether the geometry, material and quantity describe a manufacturable route. Open questions are returned against the drawing or assembly interface. Once the design basis is clear, the quotation can distinguish tooling, samples, production and any secondary operation instead of hiding assumptions inside a single price.

A complete first message reduces quotation risk

Attach the latest drawing or 3D model and identify the revision. Include expected batch and annual quantity, material requirement if already frozen, color or reinforcement, the mating shaft/gear/chain or surrounding assembly, service temperature and environment, and any dimensions or surfaces that are critical to function. If the project is a replacement part, state whether an original sample is available for measurement.

Do not hide unresolved items behind a nominal dimension. If backlash, fit, resin grade, gate location or inspection method is still open, mark it as a review item. That lets the engineering response separate fixed requirements from choices that can be optimized for manufacturing.

What happens after you send an RFQ

A useful first review separates confirmed inputs from open engineering decisions. The drawing revision, quantities and mating interface are checked first. Material, process and tolerance questions are then returned as specific review items instead of being filled with assumptions. When tooling is involved, DFM and sample acceptance should be agreed before production release.

For a new component

Send CAD, drawing, target quantity, material status, application environment and the surfaces or dimensions that control assembly.

For a replacement

Add photographs and an existing sample if available, but identify the actual field problem so worn geometry is not copied as the target.

For a gear, rack or sprocket

Include the mating member or chain standard, pitch geometry, shaft or mounting interface, expected duty and the required functional backlash or engagement condition.

If some inputs are unknown, mark them as open instead of estimating them. That makes the first engineering response more useful and prevents provisional assumptions from silently becoming production requirements.
